Are you the kind of person who just gets things done before anyone even asks?
Our Director of Partnerships & Commercial, Richard, is looking for a sharp, proactive Personal Assistant who can keep things moving, spot gaps before they happen, and bring structure to a fast-moving commercial environment. We're a payments company operating in high-risk verticals - fast-moving, regulated, and relationship-heavy. Familiarity with payments, fintech, iGaming, or a similar regulated industry is a strong plus and will help you hit the ground running.
This is not just about managing a calendar - it's about being a true right hand who keeps the commercial function moving, coordinates across teams on Richard's behalf, and makes sure nothing falls through the cracks.
Location:
📍 Sweden-based is a plus, but not a must. We’re open to remote, as long as you can align with our time zone and are highly organized.
What You’ll Be Doing
Own Richard's calendar and inbox - scheduling, prioritizing, and protecting his time for deal-making and senior relationships
Coordinate and manage Richard’s meetings across teams, partners, and time zones - ensuring they are purposeful by setting agendas where needed, capturing key actions, and following up on next steps
Act as the first point of contact between Richard and the wider organization - coordinating with legal, product, compliance, finance, and the commercial team on his behalf so he's pulled in only for discussions and decisions, not for chasing.
Own HubSpot pipeline hygiene - keep deals current, chase internal teams on stalled threads, and prep Richard for pipeline reviews and sales meetings
Draft emails, client communications, and internal follow-ups - clear, sharp, and to the point
Prepare materials when needed - presentations, summaries, briefing and meeting notes, or quick overviews and agendas before meetings
Organize travel, logistics, dinners, and event schedules - for Richard and, when needed, for larger groups attending industry events together (this means a relatively high level of availability and flexibility)
Occasionally handle personal appointments and scheduling, helping create a seamless balance between work and personal commitments
Track ongoing projects and commitments - including verbal commitments Richard makes in meetings or on calls - and make sure nothing slips through the cracks
Handle sensitive commercial information with full discretion and good judgment
Most importantly: think ahead - anticipate needs, flag risks, and bring solutions before problems arise
What success looks like in your first 6 months:
You're the first point of contact for merchants and internal teams who currently default to Richard
Richard's calendar consistently protects time for deal-making and senior relationships
Pipeline status is current and visible without Richard having to chase it
Nothing falls through the cracks - verbal commitments, follow-ups, or stalled deals
Richard shows up to meetings prepared because of you, not despite the chaos around him
Who You Are
Highly organized, detail-oriented, and comfortable juggling multiple priorities
Naturally proactive - you don’t wait to be told what to do
Strong communicator (excellent written and verbal English skills) - you know how to be clear, concise, and professional
Comfortable and experienced in working with senior stakeholders and external partners
Tech-savvy - experience with tools like Microsoft Office, Google Workspace and CRM systems (HubSpot is a big plus)
Discreet and trustworthy - you’ll be exposed to sensitive business information
Emotionally intelligent - you can read situations, adapt your approach, and build trust quickly
Flexible and committed - this isn’t always a strict 9-to-5 role, and sometimes availability outside standard hours is needed
Presentable and adaptable - comfortable adjusting your style and attire depending on the setting, from day-to-day work to client meetings and industry events
Bonus: prior experience in payments, fintech, iGaming, or another high-context regulated industry - so you can plug in quickly without a long onboarding curve

You’ll be deeply involved in day-to-day operations, helping bring clarity, structure, and momentum - while also supporting more strategic and commercial topics when needed.
